Velo CRM

Privacy policy

Updated October 21, 2026

Who this covers

Velo CRM provides customer relationship management software to businesses and agencies. This policy describes the Velo service and its mobile app. If your workspace is operated by an agency under its own brand, that agency also controls how it collects and uses its customer records. Contact your workspace administrator for its privacy policy.

Information used by the service

Velo processes account details, workspace membership, contacts, conversation content, notes, appointments, deals, tasks and files that you or your organization provide. We process setup prompts and generated content when you choose AI features. We also use service activity, security records, network information and device notification tokens to operate and protect the service.

How information is used and shared

Information supports sign-in, workspace access, CRM features, customer communications, notifications, support and security. Authorized members of your workspace can access information according to their permissions. Hosting, messaging, notification, payment and AI providers process information needed for the features your organization enables. Sending a business message shares its content and recipient information with the connected delivery provider. Using AI shares the information needed for that request with the configured AI provider. Do not put passwords, payment-card details or unnecessary sensitive information in setup prompts.

Mobile permissions and device storage

The mobile app stores sign-in credentials in the operating system’s secure storage and saves setup drafts for recovery. It requests notification permission when configured. Notifications can be disabled in your phone settings. Device call, text and email shortcuts open your phone’s own applications. Optional voice requests ask for microphone and speech recognition permission when you choose to speak. You can deny that permission and continue using typed requests. The app does not request address-book, camera or location access for its CRM workflows. Background voice recording is disabled.

Optional voice requests

Live dictation uses your device or browser speech recognition service to show words as you speak. Depending on your device and settings, Apple, Google or your browser's speech provider may process audio online under its own privacy practices. Velo does not upload or save a recording from this live dictation flow. You review the words before sending them. Earlier app versions may upload a recording to Velo's configured speech provider for transcription. The submitted text and relevant workspace information are sent to the configured AI provider to respond to your request. Messages, responses and approved drafts are saved in your workspace. Assistant voice uploads are not saved as public files; decoding can use a private temporary cache that is released when processing ends. Spoken replies, when requested, are generated by the configured speech provider. Provider processing is also subject to that provider’s terms and privacy practices.

Your choices and requests

You can update your profile, sign out, control device notifications and ask your workspace administrator about access, correction, export or deletion of customer records. For Velo account or privacy requests, contact [email protected] or open an authenticated support ticket. We verify identity and organization authority before acting on account or workspace data. Verified account-deletion requests are completed within one hour. Some records may need to be retained for billing, security, dispute resolution or legal obligations. Backup copies follow the service’s operational retention process.

Security and policy changes

We use access controls and encrypted transport to protect service information. No system can guarantee absolute security. Material changes will be reflected in the date and content of this policy. Contact support if you have questions about a change or your organization’s data.
